10 Things That Lead to One Great Meeting
Meetings are not meant to be fun but in theory, they shouldn't be a burden either. If you feel like your meetings are getting in the way of productivity or adding too much time on to your day, then it's time to try some of these simple strategies. These 10 things will help make meetings better:
- Don't cram everything into one meeting
Set aside plenty of time for the meeting itself and leave room for discussion and questions-- that way people will have a chance to get up and go if they need to.
- Give some advance warning about what's going on that day so people can prepare accordingly.
- Don't turn every meeting into a heated argument.
- Try to time it in a way that everyone is fresh and not approaching burnout at the end of the day.
- Everyone wants to get home by 6pm, so no one will go too far with their ideas or suggestions.
- Don't expect anyone to listen to you if they are tired and grumpy. If you're meeting late in the day and don't have anyone who can help you, ask someone else to run your meeting-- they will be more likely to listen once they've had some time to wind down and relax after a long day.
- Make sure everyone has an equal share of the floor . If you know what everyone's contributions have been, it will make it easier for everyone to give their input.
- Make sure a time limit is included in the meeting agenda so that people don't feel pressured to stay until the bitter end.
- Don't ask for too much from anyone at one time . It's great if people are willing to deliver on multiple projects and assignments but keep in mind that some of your team members may not be as available as others and it will affect what they can do at any given time.
- Most of all, if you are having a negative meeting, take control over your emotions. If you can't control your emotions during a meeting, then it's time to fire yourself and move on to someone who isn't so "hangry."
